LOADME · CASH CUSTODY AND EXPENSE RECORDS

Know who received the cash and how it was spent

Keep a paper trail of money entrusted to an authorised operator or manager and its use for driver payments and other expenses.

Illustrative workflow. People handle the money. Loadme records the amount, date, reason and shipment reference where applicable.

  1. Management gives cash to an authorised custody holder.
  2. The holder records either a driver shipment payment or a toll or small expense.
  3. Both uses feed the transaction record: amount, date, reason and shipment reference where applicable.

Record who receives the money

A custody record identifies money entrusted to authorised staff. Access is assigned through the configured custody workflow, so the permitted users and actions must be agreed.

Explain how it was used

Connect the record to a driver shipment payment or another expense, such as a toll or fare. Include the amount, date and reason, plus a shipment reference where applicable.

Review the transaction trail

Authorised users can follow the recorded transactions. The record supports operational review of money handled by people; it is not a banking wallet or a payment service.

Practical questions

Is custody a digital wallet?

Who has access?

Authorised users assigned through the configured custody workflow. Not every operational role has access.

Can an expense reference a shipment?

Where applicable, the record can include a shipment reference alongside amount, date and reason.
